Guides for running your brokerage on BrokerCircle
A few practical, honest guides — what to look for in a real estate CRM, how matching and brokerage tracking actually work, and how to get a team up and running.
What to look for in a real estate CRM
A real estate CRM is worth adopting when it actually replaces the spreadsheet and the chat-thread habits your team already has — not when it just adds another tab to check. At minimum, look for a single place to capture leads from every source, a pipeline that shows where each requirement stands, inventory that's shared across the team instead of living on one person's phone, and brokerage or commission tracking so nobody has to remember what's owed on a closed deal.
How property matching actually works
"Matching" means very different things depending on the tool. In BrokerCircle it's a transparent, rule-based scoring engine: it compares a requirement's location, budget, BHK configuration, carpet area, furnishing, and possession timeline against your inventory, and every suggested match comes with a plain-language explanation of why it scored the way it did. It's deterministic and inspectable, not an opaque recommendation you have to take on faith.
Getting your team onboarded
BrokerCircle supports role-based access, so you can add agents and team members without handing everyone the same level of visibility — a team lead can see across the whole pipeline while an individual agent sees what's assigned to them. Start by adding your team from the team management screen, assigning roles that match how your brokerage actually operates, then importing or entering existing leads and inventory so the pipeline reflects real, current work from day one rather than starting empty.
Understanding brokerage and commission tracking
Every closed deal in BrokerCircle can carry its own brokerage terms — either a percentage of the deal value or a flat amount — and the brokerage owed is calculated from that automatically. From there, a deal's brokerage status moves through pending, invoiced, and received, so at any point you can see exactly what's been earned, what's been billed, and what's actually landed, instead of reconstructing it from memory at month-end.
Working with a broker network
No single brokerage has every requirement matched to inventory it already owns. BrokerCircle's opt-in broker network lets you share qualifying requirements and properties with a trusted network of other brokers, so you can find — or provide — a match you wouldn't have otherwise. Nothing is shared automatically or by default: you choose what's visible, and contact details stay private until both sides express interest.
