Privacy Policy

Account and profile information. When a brokerage signs up, we collect the company name, the account owner's name, email address, and phone number, and information about team members they invite (name, email, role, and permissions).

Customer Data entered by brokerages. Brokerages and their team members enter information about their own leads, contacts, property owners, and tenants into BrokerCircle — typically names, phone numbers, email addresses, property preferences, budgets, and notes about interactions. This data belongs to the brokerage, not to BrokerCircle. If you are a lead, contact, or tenant whose information appears in BrokerCircle, that information was added by a brokerage you are working with, and inquiries about it should go to that brokerage in the first instance.

Property and listing information. Details about properties listed by a brokerage, including address, price, specifications, and photos.

Payment information. Subscription payments are processed by Razorpay, our third-party payment processor. We do not store your full card, UPI, or bank account details — Razorpay handles that directly and shares with us only what's needed to manage your subscription (such as plan, billing status, and invoice history).

Communications data. If a brokerage uses our calling integration (via Exotel) to call or message leads and contacts, we process call metadata (timing, duration, participants) and, where enabled by the brokerage, call recordings, to support that feature.

Device and push notification data. If you install the BrokerCircle mobile app and enable notifications, we store a device push token so we can deliver alerts (such as a new lead assignment, a match, or a task reminder) to your device. We do not use this token for any purpose other than sending you notifications relevant to your BrokerCircle account.

Usage and log data. We automatically collect technical information when you use BrokerCircle, such as IP address, browser or device type, pages or screens viewed, and timestamps, to operate, secure, and improve the service.

Cookies. The web app uses cookies and similar technologies necessary for authentication and session management. We do not use third-party advertising cookies.

We use the information described above to: provide and maintain the BrokerCircle service; authenticate users and secure accounts; process subscription payments; enable features you or your brokerage turn on (such as calling integration, the BrokerCircle broker network, or push notifications); respond to support requests; monitor and improve performance and reliability; and comply with legal obligations.

We do not sell Customer Data, and we do not use Customer Data to train third-party advertising models.

If a brokerage chooses to participate in the BrokerCircle Broker Network, certain property or requirement details may be shared with other participating brokerages to identify cross-company matches, subject to the controls and consent flows built into that feature. Brokerages control whether they participate and what is shared.

We share information with:

• Sub-processors who help us run the service, currently: our hosting provider (for application hosting and data storage), Razorpay (payment processing), Exotel (calling and messaging, where enabled), and Expo (push notification delivery to the mobile app). Each is bound by its own data protection and confidentiality obligations to us.
• Other brokerages, only where a brokerage has opted into the Broker Network and only to the extent that feature's matching and consent controls allow.
• Law enforcement or regulators, where required by law, or to protect the rights, property, or safety of BrokerCircle, our customers, or others.
• A successor, if BrokerCircle is involved in a merger, acquisition, or sale of assets — we'll provide notice before Customer Data becomes subject to a different privacy policy.

We do not sell personal information to third parties.

We retain account and Customer Data for as long as a brokerage's account is active, and for a reasonable period afterward to allow account recovery, meet legal and accounting obligations, and resolve disputes. A brokerage may request deletion of its account and associated Customer Data at any time by contacting us; we'll complete deletion within a reasonable period, except where we're required to retain certain records by law.

We use industry-standard safeguards — including encrypted connections (HTTPS/TLS), tenant-level data isolation between brokerages, and access controls — to protect information from unauthorized access, alteration, or disclosure. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Depending on where you're located, you may have rights to access, correct, export, or delete your personal information, or to object to or restrict certain processing. If you're a BrokerCircle User, you can exercise many of these rights directly in the app, or by contacting your brokerage's account administrator. If you're a lead, contact, or tenant whose data was entered by a brokerage, please contact that brokerage directly, or contact us and we'll route your request to the relevant brokerage where required. Users in India have rights under the Digital Personal Data Protection Act, 2023; users in the European Economic Area or UK may have rights under the GDPR/UK GDPR where applicable.

BrokerCircle's infrastructure is hosted in India. If you access BrokerCircle from outside India, your information will be transferred to and processed in India.

BrokerCircle is a business tool intended for use by adults working in the real estate industry. We do not knowingly collect personal information from children under 18.

We may update this Privacy Policy from time to time. We'll update the "Last updated" date above, and for material changes, we'll provide additional notice (such as an in-app notice or email to account administrators).
